This Privacy Policy (“Privacy Policy“) explains our privacy practices for the activities described herein. Please read this Privacy Policy carefully to learn how we collect, use, share, and otherwise process information relating to individuals (“Personal Data”), and to learn about your rights and choices regarding your Personal Data. By accessing or using our Websites, our App, or our products and services, you indicate that you understand, accept, and consent to the practices described in this Privacy Policy.

A reference to “us,” “we,” or the “Company” is a reference to My Personal Mentor Ltd. and our affiliate My Job Hunter Technologies L.L.C-FZ, involved in the collection, use, sharing, or other processing of Personal Data.

Websites” includes both https://myjobhunter.ai/ and https://mypersonalmentors.com/.

App” means our mobile application, available for download on the Apple App Store and Google Play Store. All references in this Privacy Policy to the collection, use, disclosure, sharing, retention, and deletion of Personal Data apply equally to data collected through the App, unless expressly stated otherwise.

When we refer to Personal Data, we mean information about an identifiable natural person. In other words, information about someone we can identify, directly or indirectly, using an identifier like a name, an identification number, location data, an online identifier, or someone we can identify using one or more factors specific to the physical, physiological, genetic, mental, economic, cultural, or social identity of that natural person.

We do not knowingly collect, process, or retain any:

  • special categories of personal information like personal information of children under the age of 13,
  • personal health information, personal financial information, or any other special category of information.

Responsible Entity

My Personal Mentor Ltd. and My Job Hunter Technologies L.L.C-FZ are both responsible entities for the personal information that we collect, use, process, or control. We maintain internal practices to protect personal information and have appointed a Privacy Officer to oversee privacy matters.

Processing Activities Covered

This Privacy Policy applies to Personal Data we collect, use, or disclose when you:

  • Visit our Websites that display or link to this Privacy Policy;
  • Visit our branded social media pages;
  • Receive communications from us, including emails, phone calls, texts, or;
  • Subscribe to our products and services as an authorized user, through our Websites, where we act as a controller of your Personal Data, including but not limited to our:

  • Download, install, or use our App available via the Apple App Store or Google Play Store, where we act as a controller of your Personal Data collected through the App; or
  • Apply for employment opportunities with us.

From time to time, we may augment existing products and services or develop additional services. If the introduction of these new or additional services results in any material change to the way we collect or process your Personal Data, we will provide you with more information or additional terms or policies as needed. Unless stated otherwise, when we introduce these new or additional services, they will be subject to this Privacy Policy.

Our Websites, apps, or products and services may include links to third-party websites, plug-ins, services, including payment services, social networks, or applications. Clicking on those links or enabling those connections may allow the third party to collect or share data about you. If you follow a link to a third-party website or engage a third-party plugin, please note that these third parties have their own privacy policies, and we do not accept any responsibility or liability for these policies. We do not control these third-party websites, and we encourage you to read the privacy policy of every website you visit.

Personal Data We Collect

When you contact us, purchase services from us, fill out a form on our Websites, sign up for our email list, visit our Websites, download, install, or use our App, or opt-in to receive marketing or sales communications from us, we collect the following personal information about you, and/or your organization:

Professional/Business Data: In addition to information collected when you create your account, we collect the following: telephone number, date of birth, resume/CV, and/or reference details, work history, education, certifications, skills, desired roles and locations, income information or records, salary expectations, availability as well as any other professional data that can assist us in providing our products and services to you.
This information is required for us to provide you with our products and services.

Website Usage Data: We use Google Analytics to track visitors to our Websites, which includes your IP address, pixel tags, performance and use metrics on our Websites. It may also include page views, session duration, referral URL, click buttons or links, funnel step visits, conversion events (e.g., form submission, booking), device type, browser, and OS. We also monitor workflow and automation logs.
This information helps us continually improve our Websites, service offerings, and your user experience. For example, if we see through usage data that users are struggling with a certain function, we will be able to improve the service or functionality.
Our legitimate interests
Mobile Application Data: When you download, install, or use our App via the Apple App Store or Google Play Store, we may collect the following: device identifiers (device model, operating system version, unique device ID), App version, crash and diagnostic data, in-app usage data (features accessed, session duration, in-app events), and, where you have provided permission, push notification tokens. If you provide our App with login credentials or personal information, this information will be available to our App only for the limited purposes for which you have given us permission, and will be stored securely and only for as long as it is needed. We do not sell or transfer this information to third parties except as described in this Privacy Policy. Data collected through the Apple App Store or Google Play Store is governed by this Privacy Policy and not by Apple Inc. or Google LLC. To provide, maintain, and improve the functionality of our App; to monitor and analyze usage patterns and performance; to detect, prevent, and address technical issues, security threats, and fraudulent activity; and to send service-related communications where you have enabled push notifications.

Information You Provide to us: This includes any information we need to provide you with our products and services and any other Personal Data you submit to us in a form, email, phone call or contact form.
You may provide this information to us as part of enrolling in our product and services, or so we can assist in resolving any technical issues you have with the service or connect you with an account executive.

During our Hiring Process: This data includes your name, address, telephone number, date of birth, social insurance number, payroll information, benefit information, emergency contact information, resume, and/or reference details, as well as any other Personal Information we are required to process in order to interview, onboard and retain your talent.
If you are an employee or a prospective employee and you have any questions about your Personal Data, please contact our Privacy Officer. We collect this information so that we may review your resume, interview you, onboard you, retain your talent, and provide you with benefits. We may also require your Personal Data to assess whether you are eligible to work in Canada.

Marketing and Promotional Data: This includes your name, email address, phone number, summaries of any conversations we have had with you, your usage data, open rate, click- through rate (CTR), time of interaction, unsubscribe, spam complaints, SMS delivery status & responses, email delivery logs, and any information you have requested from us.
This information is collected for marketing, promotion and advertising purposes. We may also send you promotional messages or emails if you have opted-in to receive them.
Consent, Our legitimate interests
B2B Data: This includes name, email address, employment role and title, current and past employer data/work history, location, telephone number. For Facebook/Google Ads integration, we also track your ad clicks (via pixel/UTM), leads ad responses and campaign attribution (source, medium, keyword).
We gather information on businesspeople and companies from various third-party business and social platforms to strengthen the accuracy and reliability of data about you and our marketing and sales data. Some of this data is publicly available and some are gathered via social media sites and other public internet sites, such as LinkedIn. We also use public resources such as company web sites, commercially available marketing registries, and public records.
Our legitimate interests
Form & Survey Data: If you browse our Websites, we may collect information about the pages you have visited and forms or surveys you have submitted to us. This includes questions and user responses, submission time, abandonment (if enabled) and score-based logic (if configured).
This information is required to answer any inquiries you may have and help better segment our marketing efforts.
Our legitimate interests
Legal and Regulatory: If we need to disclose Personal Data to regulators and/or law enforcement authorities we may disclose your: name, email, phone number, user ID, login history, IP addresses, activity logs.
To comply with applicable legal and regulatory obligations we may have to report any data breaches and disclose any breach related data namely, what was exposed, how many individuals affected, mitigation steps.
Lawful obligations

Use of Artificial Intelligence

Our Platform uses a combination of proprietary and third-party artificial intelligence (AI) and data processing services, such as Google Cloud Platform, Firebase, OpenAI, Google Analytics, and Google
reCAPTCHA to enhance user experience, personalize career services, and improve platform functionality. These systems analyze user-provided information to generate tailored job recommendations, optimize resumes and cover letters, analyze job descriptions and identify skill gaps, assist with interview preparation, improve overall usability and efficiency of the Platform, and maintain Platform integrity through fraud prevention and abuse detection.

Your Personal Data may be used to train our proprietary AI models, but such data is anonymized, aggregated, and derived from the My Job Hunter ecosystem. Identifiable user data is not used to train our proprietary models.

Our AI systems may process the following types of Personal Data you provide:

  • User Profile Information (e.g., name, email, account details)
  • Professional and Business Data (e.g., resume content, education, work experience, skills, certifications)
  • Usage Data (e.g., job searches, application tracking, document uploads, in-app activity)
  • Information You Provide (e.g., career goals, target roles, location preferences)

Third-party intelligence and data processing services only have access to aggregated and anonymized data. We ensure that your Personal Data is protected through appropriate clauses in the contractual agreements with third parties.

Use of Websites, Cookies, and Tracking Technologies

As you navigate through and interact with our Websites or download, install, or use our App, we may use cookies or other automatic data collection technologies to collect certain information about your equipment, browsing actions, and patterns, including:

  • Details of your visits to our Websites or use of our App, including traffic data, location data, logs, and other communication data, and the resources that you access and use on the Websites.
  • Information about your computer and internet connection, including your IP address, operating system, and browser type.

A cookie is a small text file that the Websites send to your browser, which then stores the cookie on your hard drive to save you time, provide you with a more meaningful visit, and measure website activity. We use a pop-up window on our Websites to ask that you opt in to our use of cookies in this way.

You can set up your browser to disable cookies at any time, but doing so may limit the functionality of our Websites.

We use cookies for the following purposes:

  • For functionality. These cookies and other technologies are essential in order to use the services to provide the feature you have requested, such as remembering if you have logged in or your language, or search parameters. We use these cookies to make your use of the Services more tailored.
  • For performance and analytics. These cookies collect information on how you interact with our services and help us improve how the Services operate. For example, we use Google Analytics cookies to help us understand how you browse our Websites. We use this information to identify areas for improvement, such as navigation, user experience, and marketing campaigns.
  • Targeting Cookies or Advertising Cookies. These cookies collect information about your browsing habits in order to make advertising relevant to you and your interests.
  • Social media cookies. We use these cookies to track key metrics such as conversions when you engage with our content on the social media platform and later visit our site. This information may also be used for advertising activities.

Third-Party Cookies:

We may allow third-party service providers such as Google and Stripe to place cookies on your device through our Websites or App to help us analyze usage, deliver personalized content, and serve targeted advertisements. These cookies are governed by the respective third parties’ privacy policies and not by ours. You can manage your cookie preferences through your browser settings or opt out of certain tracking technologies as outlined in our Cookie Notice.

Do-Not-Track Signals

Do Not Track (“DNT”) is a privacy preference that users can set in certain web browsers. DNT is a way for users to inform websites and services that they do not want certain information about their webpage visits collected over time and across websites or online services. We do not recognize or respond to browser-initiated DNT signals, as the Internet industry is currently still working toward defining exactly what DNT means, what it means to comply with DNT, and a common approach to responding to DNT. With respect to our App, you may limit ad tracking or reset your advertising identifier at any time through your device’s privacy settings (iOS or Android).

Sale of Personal Data

We do not sell Personal Data and have not sold personal information in the past 12 months.

Sales and Marketing

We like to send you information about our products and services that we think might interest you. We may send you this information if we have a business relationship with you, you have offered your contact information to us (i.e., business card), your contact information is publicly available, or as permitted under applicable anti-spam legislation. If you have enabled push notifications on your mobile device, we may also send you marketing or promotional push notifications through our App. You may withdraw your consent to receive push notifications at any time by adjusting your device settings or within the App settings. Otherwise, we will always obtain your consent to receive sales and marketing information before sending you any communications.

You can always opt out of our sales and marketing communications. If you wish to opt out of receiving sales and marketing communications, please contact our Privacy Officer, select the unsubscribe link in an email you receive, or disable push notifications through your device or App settings. We will provide you with our response to that request in a timely fashion, and can make appropriate modifications to our information, up to and including deletion.

Sharing and Access to Your Personal Data

We may share your Personal Data as follows:

Internally:

Your personal information will be accessed by our employees who have a legitimate business purpose for using it. Unauthorized use and disclosure by our employees are strictly prohibited. All employees are required to maintain the confidentiality of personal information and client information they process at all times.

Third Parties:

(a) Service Providers

From time to time, we may need to disclose your Personal Information to another company to provide you with our products and services (“Third-Party Service Providers”). For example, our Websites are hosted by squarespace.com and namecheap.com. Third-Party Service Providers may be used for the following functions: payment services, account creation, sending communications, storing data, assessing compliance risks (such as our lawyers, accountants and auditors), analyzing data, providing marketing and sales assistance (including advertising and event management), conducting customer relationship management, providing training, and providing the artificial intelligence and data processing services that power our Platform, including but not limited to Google Cloud, Firebase, OpenAI, Google Analytics, and Google reCAPTCHA. These Third-Party Service Providers have access to the minimum Personal Data needed to perform their functions, and may not use it for any other purposes. We ensure that international data transfers are compliant with applicable law.

(b) Data Sharing with Affiliates

To enhance our services and provide a more personalized experience, we may share your personal data between our affiliated companies, My Personal Mentor Ltd., and My Job Hunter Technologies L.L.C-FZ, as the case may be. Both companies are bound by our Privacy Policy.

(c) Involved in a Corporate Transaction

If we are involved in a merger, reorganization, dissolution, or other fundamental corporate change, or sell our Websites or business unit, or if all or a portion of our business, assets, or stock are acquired by a third party. In accordance with applicable laws, we will use reasonable efforts to notify you of any transfer of Personal Data to an unaffiliated third party.

(d) Law Enforcement and Data Protection Authorities

We may disclose or otherwise use your personal and other information where we or they reasonably believe such disclosure is needed to:

  • Satisfy any applicable law, regulation, legal process, or governmental request, and where possible, notify the data subject of such disclosure.
  • Enforce applicable terms of use or agreement, including investigation of potential violations thereof.
  • Detect, prevent, or otherwise address illegal or suspected illegal activities (including fraud), or for security or technical issues.
(e) Professional Advisers

In individual instances, we may share your Personal Data with professional advisers acting as service providers, processors, or joint controllers – including lawyers, bankers, auditors, and insurers who provide consultancy, banking, legal, insurance, and accounting services.

International Transfer of Personal Data

Your Personal Data, including data collected through our App, is stored and retained in Canada and the United States. Any data that you provide to us may be also be accessed, shared or processed by our employees, located in Canada, the U.S., India, and the UAE, and service providers located in Canada and the United States, if such data transfer is necessary for the specific purpose for which you submitted your data (such as the provision of goods or services under a written contract). Whenever we engage a service provider, we require that its privacy and security standards adhere to this policy and applicable Canadian and European Union privacy legislation.

This may entail a transfer of your personal information across international borders. The data protection standards may differ and be lower than the standards enforced in your jurisdiction. In these circumstances, the governments, courts, law enforcement, or regulatory agencies of that country may be able to obtain access to your personal information through the laws of the foreign country.

 

How Do We Store and Retain Personal Data?

Except as otherwise permitted or required by applicable law or regulation, we will only retain your personal information for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. Under some circumstances, we may anonymize your personal information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent.

Data collected through our App via the Apple App Store or Google Play Store is subject to the same retention and deletion practices described in this Privacy Policy. You may request deletion of your Personal Data collected through the App at any time by contacting our Privacy Officer.

What Rights Do You Have?

You have the right to withdraw your consent for us to collect or process your Personal Data. We will endeavor to comply with the request and adjust our practices regarding your Personal Data within a reasonable time and in accordance with applicable laws and regulations (see “Consent” section of this Privacy Policy). If you do not want us to continue contacting you, we will add your contact information to a ‘do not send’ list to comply with your no-contact request. If you request to be placed on a ‘do not send’ list, your name and limited contact information will be kept on that list.

Depending on your jurisdiction, such as Canada and the European Union, you may have certain rights, such as:

  • Right to be Informed: You have the right to be informed about the collection and use of your Personal Data.
  • Right to Access: You have the right to view and request copies of your Personal Data.
  • Right to Rectification: You have the right to request that inaccurate or outdated Personal Data be updated or corrected.
  • Right to be Forgotten: You have the right to request that your Personal Data be deleted, subject to our legal obligations and restrictions.
  • Right to Data Portability: You have the right to ask for your Personal Data to be transferred to a Controller.
  • Right to Restrict Processing: You have the right to request the restriction or suppression of your Personal Data.
  • Right to Withdraw Consent: You have the right to withdraw previously given consent to process your Personal Data.
  • Right to Object: You have the right to object to the processing of your Personal Data.
  • Right to Object to Automated Processing: You have the right to object to decisions being made using your Personal Data solely based on automated decision making or profiling.

Data Security

The security of your personal information is very important to us. We use physical, electronic, and administrative measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. We have implemented standard security measures, including:

  • TSL/SSL Certificate for data encryption.
  • Authentication & Access Controls: role-based access Control for users, row-level security (RLS), password-protected with hashed and salted values.
  • Data Segregation: unique User IDs.
  • Document Storage: private, per-user storage buckets.
  • Contingency & Monitoring: automated backups and data recovery capabilities, Stripe provides fraud monitoring and PCI-DSS compliance. Logs & monitoring access controls.
  • Data Deletion: automated data deletion after 1 year for technical and usage data logs, using automated scripts.

These security measures apply equally to Personal Data collected through our App available on the Apple App Store and Google Play Store.

The safety and security of your information also depend on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Unfortunately, the transmission of information via the Internet is not completely secure. Although we do our best to protect your Personal Data, we cannot guarantee the security of your Personal Data transmitted to us. Any transmission of Personal Data is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Websites.

Data Breach Notification

If a breach of security safeguards involving your Personal Data creates a real risk of significant harm to you, we will notify you and report the breach to the applicable regulator as soon as feasible and in any event within the timeframe required by applicable law. Notification will be provided by email, telephone, mail, or in-app notification, as appropriate. We maintain records of all security breaches for a minimum of 24 months. Children Under the Age of 13

Our Websites, apps, or products and services are not intended for children under 13 years of age. No one under age 13 may provide any Personal Data to [or on] the Websites. We do not knowingly collect personal information from children under 13.

If you are under 13, do not use or provide any information on our App/Websites or on or through any of its features/register on the App/Websites, make any purchases through the App/Websites of our products and services, use any of the interactive or public comment features of the App/Websites, or provide any information about yourself to us, including your name, address, telephone number, email address, or any screen name or user name you may use. If we learn we have collected or received Personal Data from a child under 13 without verification of parental consent, we will delete that information. If you believe we might have any information from/or about a child under 13, please contact our Privacy Officer.

Changes to Our Privacy Policy

We keep our Privacy Policy and privacy practices under regular review and will change this Privacy Policy from time to time. If we make any significant changes, we will notify you of the changes by posting them on our Websites, in-app notification, or by sending you an email, and we will change the last modified date at the top of this Privacy Policy.
